Automatic journals in PerfectoERP: from operations to the ledger

Every meaningful business movement should leave a clear mark on the books—without a clerk re-typing what the warehouse, salesperson, cashier, or payroll officer already did. Open an unposted journal and ask what a line means, which document created it, or why it will not post. Guidance stays inside your job functions—warehouse users do not suddenly see payroll detail.

What an automatic journal actually is

A journal is a set of debit and credit lines that must balance. Manual journals still exist for rare adjustments. Automatic journals are different: PerfectoERP builds them when you complete a real business action—receive a purchase, deliver a sale, collect cash, pay a vendor, run payroll, move money between bank accounts, finish production, or close a period.

Each automatic journal carries a memo that names the source document, and it stores a link to that document. Controllers and auditors can open the journal and see which purchase, sale, receipt, payroll line, or transfer created it—then drill from the balance back to operations. You are not hunting email PDFs for “what was this 12,450 entry?”

Automatic does not mean unsupervised. It means the system proposes the balanced story; finance still reviews, approves, and posts.

Company setup can turn automatic journal creation on for operational areas such as purchasing, customer returns, transfers, and related flows. When it is on, completing those documents creates journals. When it is off, stock can still move—but finance must not assume a journal appeared. Controllers also choose whether the journal date follows the document date or the posting moment—so period reporting stays intentional.

Draft first, impact later

Created journals typically land as unposted work. Account balances and financial reports change when finance posts—after balance checks, approval where configured, and a clear audit trail.

Where journals are created across the system

Automatic journals are not a single “finance button.” They appear wherever money, stock value, people cost, or treasury movement becomes accounting truth. The map below is what controllers evaluate when they ask: “Will every team still force us to re-key at month-end?”

Inbound on a purchase order raises inventory (or expense for services) and credits the vendor payable—plus tax and overhead lines when configured.

Deliveries & invoices

Outbound sales debit receivables and credit revenue; stocked goods also move cost of sales and inventory. Service lines create their own revenue journals.

Cash

Receipts & payments

Cash receipts clear customer balances into bank or cash; cash payments clear payables or expenses out of cash—with service charges and exchange differences when they apply.

Payroll accrual

Paying a payroll line debits salary expense and credits net salaries payable, labour tax payable, and loan recovery accounts as the template requires.

Posting a money transfer credits the from-account, debits the to-account, and adds bank charges, tax, and forex gain or loss lines when used.

Returns & credit notes

Customer and vendor returns, plus customer/vendor credit and debit notes, reverse or adjust the original commercial story with their own journals.

Stock transfers & damage

Inter-warehouse transfers and damaged-item handling create value journals so inventory accounts stay aligned with physical moves.

Manufacturing finish

Finishing work orders consumes components and receives finished goods with journals that keep production on the same ledger as stock.

Period & year close

Closing a period posts profit-and-loss and fixed-asset depreciation journals in a controlled sequence—not a side spreadsheet at year-end.

Clear examples—what the books look like

The following examples use simple numbers so non-accountants can follow the story. Your chart of accounts and tax setup decide the exact accounts; the pattern is what matters: operate once, journal once, post once.

Example 1 — Receive goods on a purchase order

A buyer ordered 100 units of packaging at 50 each (5,000 total) from Vendor Al-Noor, plus 750 purchase tax. The warehouse receives the full quantity. The system proposes an inbound purchasing journal linked to that purchase order.

Example 2 — Deliver a customer sales order

You sell those packaged goods to Customer Horizon for 8,000 (plus 1,200 output tax). Cost on the books is 5,000. Delivery/invoicing proposes the commercial journal—and, for stocked items, a separate cost movement.

If the order is services instead of stock, the sold-services journal debits the customer receivable and credits service revenue—still naming the sales order in the memo, without a COGS inventory relief.

Example 3 — Collect cash from the customer

Horizon pays 9,200 into your operating bank account. Posting the cash receipt proposes a journal that debits the bank and credits the customer receivable—clearing the open item.

Example 4 — Pay the vendor (or many vendors in bulk)

You pay Al-Noor 5,750 from the same bank, with a 25 bank service charge. The cash payment journal credits cash, debits the vendor payable, and expenses the fee. Bulk payments follow the same pattern for many open liabilities in one guided run.

Example 5 — Accrue one employee’s payroll

Payroll for Sara in March: gross 12,000. Net payable 10,200 after labour tax 1,200 and a 600 loan recovery. The accrual journal puts people cost on the same trial balance as inventory and sales.

Example 6 — Move money between bank accounts

Treasury moves 20,000 from Bank A to Bank B as a bank transfer with a 40 service charge. Posting the money transfer request proposes one journal for the move and the fee.

When month-end stopped being archaeology

Challenge
